Quick Change Help

 

General Information

 

 

The ApartmentGuide.com Quick Change System is your tool to manage your listing information on ApartmentGuide.com.

  • Login - The 'Client Login' link on the ApartmentGuide.com homepage will lead you to the Quick Change System Login prompt.
  • Browser Compatibility – Quick Change is compatible with Internet Explorer versions 5.5 and above.  A link on the Login page will take you to Microsoft’s free download area for the latest version of IE or you may click here.  
  • User ID and Passwords – Contact your representative to receive a User ID and Password to Quick Change.  For help with an existing account, email an ApartmentGuide.com Professional Service Representative or call 1-877-999-4472.
  • Change Review – All changes are reviewed by ApartmentGuide.com within 2 hours on weekdays between 8:30 and 7:00 pm Eastern Time.

 

Your Properties

Once logged in you will be presented with all the properties you have rights to change.

  • Property Status – Properties with a ‘Live’ status are available for edits.  Properties with an ‘In Process’ status have been modified recently and are pending review by ApartmentGuide.com staff.  You may make further edits to properties ‘In Process’.  Properties that are ‘In Review’ are locked and will be available for more changes once ApartmentGuide.com staff completes proofing changes.
  • Click a Property to Edit – Click the property name to begin editing.
  • Sort – Sort your list of Properties by selecting Property Name, Last Edit, Status, Address, City, or State.
  • Paging- For users with more than 25 properties, select a page number to jump ahead or back in your list.  Click ‘Next’ or ‘Previous’ to page backward or forward by 1 page.
  • Add Property – Don’t see a property you’re responsible for?  Click this link to let us know what properties you need access to.  Please complete the message and ‘Send’.
  • Delete Property – “What is that property doing there?”.  Please let us know if there is a property on your list that isn’t yours.

 

Edit Community

Make all your community data changes on this page.

  • Take a Shortcut - A link to each section appears at the top and bottom of the page. You can take a shortcut to the content you wish to edit by clicking any of these links.
  • Save your Changes - Make sure you save your changes once you have edited your content. The 'Save All Changes' button is located at the top- and bottom-right.
  • Cancel your Changes - If you have made changes to your property information but wish to cancel all the changes, simply click the 'Cancel All Changes' button at the top- and bottom-left. Please do not use the browser 'Back' button to cancel changes.
  • Multiple Listings - If you have multiple listings for the property be sure to select each listing tab and make the necessary changes to each listing.

 

Location, Management Company and Contact Information

  • Name & Location- Change the property name, address, city, state or zip by clicking the 'edit' link located beneath these fields. A pop-up box will appear. List your desired changes in the comment box and click 'send' to submit to the ApartmentGuide.com staff.
  • Management Company - Add or edit your management company by clicking the 'edit' link located in the management company section. A pop-up box will appear. List your desired changes in the comment box and click 'send' to submit to the ApartmentGuide.com staff.
  • Property Phone, Fax, Number of Units, Leasing Office/Call Center Phone, or Website Address - Edit these values in their respective fields. ApartmentGuide.com site visitors will be calling your leasing office or call center, so ensure this information is accurate.  Enter your website address in the 'listing website address' field. Remember the format for a website address is http://www.mypropertyname.com.

 

Unit Information

Enter the beds, baths, ½ baths, style, pricing, term and deposit information for each floorplan of your listing.  Add or edit the floorplan image associated with the unit.

  • Beds, Baths, 1/2 Baths, and Style - For each unit type on your ApartmentGuide.com listing, there is a dropdown list for beds, baths, 1/2 baths, and style. Simply choose the correct value for each unit type.
  • Min Rent and Max Rent - Pricing information can display 4 ways on your ApartmentGuide.com listing:

1.     A Price Range ($800 to $1200) - To display a price range for a unit type, input your minimum price in the 'min rent' field and your maximum price in the 'max rent' field.

2.     From $800 - To display a 'from' price for a unit type, input your 'from' price in the min rent field and leave the max rent empty.

3.     Up to $800 - To display an 'up to' price for a unit type, leave the 'min rent' empty and input your 'up to' price in the max rent field.

4.     Please Call - To display 'Please Call' for a unit type, leave both the ‘min rent’ and ‘max rent’ empty.

  • Deposit - Simply input the deposit amount if any for each unit type in the deposit field.
  • Add/Edit a Floorplan for a Unit Type - Click the 'add' or 'edit' link on a unit type row. A pop-up box will appear. Scroll through the available floorplan images and click the image which should be associated to the unit type. You may then edit the 'Floorplan Name' and 'Square Feet' fields. Click 'Save' to save your changes, or 'Cancel’ to cancel your changes'.
  • Clear a Unit Type / Floorplan Association- Click the 'edit’ link. A pop-up box will appear. Click the 'Clear' link, then click 'Save'.
  • Upload a New Floorplan Image – From the pop-up window, click 'Upload a New Floorplan File'. Specify which floorplan image to upload, and click 'Upload'. Then click the floorplan image which should be associated to the unit type, complete the name and square feet fields, and click 'Save'.

 

Special Offer

Special offers appear as a coupon on your ApartmentGuide.com listing and are a great way to entice people to visit your property.

  • Editing a Special Offer - Special offers will appear on your ApartmentGuide.com listing between the activation date and the inactivation date. Either date can be modified by using the calendar next to their respective text fields. Simply input the special offer in the text field provided. ApartmentGuide.com allows you 255 characters to describe your special offer.
  • Deleting a Special Offer - Special offers can be deleted by clicking the 'clear'.

 

Contacts

Contacts may receive Web Leads, End-of-Month Summaries (EOM) and/or Call Summary Reports.  Use this section to specify who should receive each.

  • Edit/Input the First Name and Last Name - Simply input the contact's first name and last name in these fields.
  • How to Contact - ApartmentGuide.com needs to know how to deliver information to each contact.  Chose email or fax from the dropdown list.
  • Report Type Boxes - Specify the reports the contact is to receive from ApartmentGuide.com.  Call Summaries may only be delivered by email.

 

Office Hours

Tell your prospective renters the office hours for your property's leasing office.

  • Inputting Hours for 'Monday - Friday' - A top 'Mon - Fri' row allows inputting hours for all weekdays. Inputting hours in this row will automatically populate this field for all weekdays. Of course you can also edit the hours for each additional weekday.
  • Inputting Hours for Saturday and Sunday - Online Edits allows you to input separate office hours for Saturday and Sunday.
  • Additional Open and Closing Values per Day - For those properties whose leasing office is open for two different time periods throughout the day (closed for lunch, etc.), Online Edits allows you to input values for a second opening and closing. Use the first open and close values for your first range of office hours. Input your second range of office hours in the reopen and close fields.
  • ‘Other’ Message - Properties wanting to display an alternate message, such as 'Call for hours', can input this message in the 'Other' text box.

 

Auto Reply

The Auto Reply System allows you to automatically send a response to any site visitors showing interest in your property. This is a great way to follow up with additional information or just send a courtesy message.

  • Editing the 'From Email Address' - The 'from email address' will appear as the email account which sent the email Auto-Response message. Remember to correctly format your email address. Most email addresses appear as your-name@your-website.com .
  • Editing the 'Reply to Email Address' – Recipients of your Auto Reply message may reply in turn, so ApartmentGuide.com needs to know which of your email addresses should receive this response. Input the email address which should receive these responses in the 'reply to' text box.
  • Editing the 'Subject' - The text entered into the 'Subject' text box will appear as the subject line of the email.
  • Editing the 'Message' - This is the text of the email. ApartmentGuide.com allows up to 1024 characters for your email message. A counter above the text box reminds you how many characters are remaining.

  • Edit Your Description – Enter your listing description in the text box. The number of characters remaining appears above the description text box.

 

Custom Features

Custom features differentiate your property from the rest.

  • Editing a Custom Feature - Edit custom features by simply editing the text in each box.
  • Deleting a Custom Feature - Delete a custom feature by clicking the 'clear' link next to the text box.
  • Additional Custom Features - Add additional custom feature by clicking the 'add more custom features' link. More custom feature fields will appear.
  • Custom Feature Order - Your custom features will appear in the following order on ApartmentGuide.com:

  • Front Cover - Listings with Front Covers will show the listing’s first four (4) Custom Features on ApartmentGuide.com Search Results.

 

Apartment & Community Features

Listings with more Features appear higher in search results.  Choose all that apply.

  • Display a Feature - Display a Feature on your listing by checking the checkbox next to the Feature.
  • Do not display a Feature – Simply uncheck the checkbox next to the Feature.

 

Pet Policy

Tell site visitors about your listing’s pet policies. You can display an unlimited amount of pet policies on your ApartmentGuide.com listing.

  • Changing the Policy Type - Choose the pet policy type from the 'policy' dropdown list.
  • Choose Weight Restriction, Deposit, and Comments - Once the policy type is chosen, input the weight restriction, pet deposit (if there is one), and any applicable comments.
  • Clear Pet Policy - If you no longer want to display a pet policy on your ApartmentGuide.com listing, simply click the 'clear' link. The pet policies values will disappear and this pet policy will no longer appear on your AG.com listing.
  • Add a Pet Policy - One can add a pet policy by clicking the 'add more pet policies' link. A new pet policy row will appear and you can edit the policy's values.

 

Lease Terms

Show your ApartmentGuide.com users which lease terms you offer. ApartmentGuide.com listing.

  • Display a Lease Term - Display a lease type on your ApartmentGuide.com listing by checking the checkbox next to the applicable lease type.
  • Do not Display a Lease Term - An unchecked checkbox next to the applicable lease term will not display the lease term on your ApartmentGuide.com listing.

 

Directions

Let site visitors know where to find your property.

  • Editing Directions - Simply edit the driving directions to your property. A counter above the text box tells how many characters are remaining.

 

Photos, Floorplans and Logo

This section allows you add, inactivate, reorder and describe your photos, floorplans and logo.

  • Managing your Images - Click the 'Manage All Photos', ‘Manage All Floorplans’, or ‘Manage Logo’ link. A pop-up box will appear with active images in the Active Gallery and inactive images in the Inactive Gallery.
    • Edit the Image Display Order - Each active image’s display order will be shown in a dropdown list. To change the display order for an image, choose the new order from the drop down list.  All Active images will automatically be reordered as well.
    • Edit the Description - Each active image’s description will be displayed in a text box below the image. Change the description by changing the text within the description text field.
    • Activate an Image - Each inactive image is displayed at the bottom of the pop-up box, with a 'Reactivate' link. Simply click the ‘Reactivate' link to make the image active. The page will reload, and the image will now be displayed in the Active Gallery in the last display order.
    • Inctivate an Image - Each active photo is displayed with an 'Inactivate' link. Simply click the ‘Inactivate' link to make the image inactive. The page will reload, and the image will now be displayed as an inactive image in the Inactive Gallery at the bottom of the popup box.
    • Upload a New Image - Begin uploading a new image file by clicking the 'Upload new File' link located in the top-right of the pop-up box. Specify which image you wish to upload and click 'Submit' link.  The Quick Change System will allow .jpg and .gif images up to 2 Megabytes to be uploaded.  Wait for the file to be uploaded and resized.  When complete the image will appear in the Active Gallery in the last display order.
    • Save Image Changes – When you’re finished, click the ‘Save’ button.
    • Cancel – Cancel all changes you made to images by clicking the ‘Cancel’ button.
